CDCNWA: Training Records, Compliance Reminders, and Portal Notifications

Working as an Individual Provider through Consumer Direct Care Network Washington involves more than providing care and recording service hours.

Providers must also maintain required training, certifications, and background checks.

DirectMyCare helps organize this information, but an important distinction is often overlooked: viewing a qualification in the portal isn’t the same as completing the training or renewing the credential.

Where to Find Your Qualifications

CDWA provides a dedicated section for training and credential information.

Open DirectMyCare, select My Account, and choose Qualifications.

This section displays recorded training, qualifications, and expiration dates.

It’s particularly useful when a provider wants to check whether a requirement is approaching its renewal deadline.

If you have several qualifications, review the entire list rather than relying on the first entries displayed.

A Missing Training Record May Be on Another Page

CDWA addresses a common problem in its official FAQ: a provider completes training but cannot find the corresponding record.

Before assuming the information is missing, check whether an arrow appears at the bottom of the Qualifications screen.

Some records may be displayed on additional pages.

If the qualification still doesn’t appear, CDWA provides a training and credential correction procedure through Workday.

Repeatedly completing the same course isn’t the appropriate first response to a missing record.

Understanding Unusual Expiration Dates

Some qualifications display expiration dates far in the future.

Two examples identified by CDWA are 06/06/2079 and 12/31/2078.

These dates are used for requirements that don’t have an actual expiration date.

The system requires a date value, so it displays one instead of leaving the field blank.

This doesn’t mean the provider needs to renew the qualification in 2078 or 2079.

Basic Training and Continuing Education

Not every Individual Provider has identical training requirements.

CDWA explains that requirements depend on the provider’s role and training category.

Basic Training generally must be completed within 120 days of the provider’s Okay to Provide Care date.

Orientation and Safety training and Basic Training are generally one-time requirements.

Continuing Education is different.

For providers who are required to complete it, CE is an annual obligation, generally due by their birthday.

CDWA identifies SEIU 775 Benefits Group as the organization responsible for caregiver training.

DirectMyCare Isn’t the Training Classroom

DirectMyCare displays qualification information and supports certain training-related records.

However, the required training itself is generally coordinated through SEIU 775 Benefits Group.

This distinction matters when troubleshooting.

If you need to know which course to complete, the training organization is the appropriate starting point.

If you completed a course but its record doesn’t appear correctly in DirectMyCare, the issue concerns documentation or reporting.

Those are different problems.

What Happens When a Credential Expires?

An expired qualification can affect a provider’s eligibility to continue providing services.

CDWA identifies several reasons a provider may be unable to submit service time, including incomplete Basic Training, an expired Home Care Aide credential, or an expired background check.

An administrative hold may also affect eligibility.

The portal’s behavior therefore isn’t always a technical error.

If service entry unexpectedly becomes unavailable, checking the Qualifications section is a reasonable troubleshooting step.

Background Checks Have Their Own Deadlines

Background checks are another important part of ongoing eligibility.

CDWA requires name-and-date-of-birth background checks to be renewed every two years.

Providers can review the recorded expiration date in DirectMyCare under My Account → Qualifications.

Look for the entry labeled Name & Date of Birth BG Check.

CDWA recommends beginning the renewal process before the expiration date rather than waiting until the last day.

Notifications Are Worth Reviewing

DirectMyCare includes a notification system, and CDWA publishes a separate guide for accessing notifications.

The organization also uses email and text messages for certain important reminders.

For example, CDWA states that background-check renewal notices may be delivered through email, SMS, and DirectMyCare.

However, notifications shouldn’t be treated as a replacement for reviewing expiration dates.

Providers remain responsible for completing applicable requirements on time.

What If a Qualification Is Incorrect?

First, confirm that you’re reviewing the correct entry and that no additional pages are available.

Then check whether the training or credential was actually completed and whether the relevant organization has processed the information.

CDWA provides instructions for requesting training and credential corrections through Workday.

Don’t assume DirectMyCare allows every qualification to be edited directly.

Getting Help With DirectMyCare

CDWA publishes instructional materials covering portal navigation, notifications, and related functions.

It also offers training sessions for people who need help using DirectMyCare.

These sessions concern using the portal and shouldn’t be confused with mandatory caregiver certification courses.

If the issue involves an incorrect qualification record, explain which training or credential is affected and what information appears in the Qualifications section.

A Useful Monthly Check

Providers can avoid surprises by periodically reviewing their qualification records.

Check upcoming expiration dates, verify that recently completed training appears, and read important notifications.

If something is missing, investigate it before the deadline becomes urgent.

This is especially useful for providers managing several clients, since a qualification issue may affect their ability to continue working across those assignments.

Keeping Your Records Current

DirectMyCare provides CDCNWA Individual Providers with a central place to review training and credential information.

But the portal primarily reflects records maintained through CDWA and its related processes.

Use DirectMyCare to monitor qualifications, recognize upcoming deadlines, and identify missing information. Complete required training through the appropriate organization, and follow CDWA’s correction procedure when the records don’t match your completed requirements.
